Ivy’s Calendar helps designers stay on track and never miss an appointment. You’ll get a bird’s eye view of all “To Do Items” and scheduled events — and can choose whether to view an entire month, week or just one day. You can filter the calendar to see all projects or select a specific project. And of course, you can integrate with your Google calendar. Read on to learn how it all works.
View your calendar
Select “Calendar” on the left-side navigation bar to view your calendar.
You’ll see your entire calendar, including To Do items and events for all your projects. In order to view your calendar for a specific project, open the drop-down titled “Display Project(s).” Select a project to see your calendar for that project or return to “All” to view your entire calendar.
At the top of the calendar you can choose to view your calendar by month, week or day. Use the arrow symbols to move back and forth between dates. Click “today” to return to today’s date.
You can also view your calendar for an individual project by selecting the project, and then selecting the “Calendar” tab.
Add an event
Did you set a meeting with a client or schedule a walk-through for next week? You’ll want to add these kinds of events to your Ivy Calendar.
To create an event, first select a project. Now you can add an event by clicking “Create Event” at the top of the screen or by selecting a date on the calendar. This will open a popup window where you can add the event details and click “Save Event.”
Add a To Do item
To add a To Do item, first choose a project. Now you can select the blue plus symbol next to “To Do Items.”
Add a title, description, due date and assignee. Click “Save” to save your To Do item.
What else appears on your Calendar?
Important dates that you add to items through the Project Tracker will appear on your Calendar. These include the estimated shipping date, actual shipping date, receive date, delivery date and install date.
In addition, invoices with due dates will appear on your Calendar.
Calendar icons
Your Calendar shows everything you have planned. Items will be differentiated by the symbol used on the calendar.
There are 4 different symbols:
Three horizontal bars symbol represents a To Do item
Truck symbol represents the actual shipping date
Bell symbol represents a due invoice and estimated shipping date
Calendar symbol represents an event, receive date, delivery date and install date
Ivy pro tip: Looking for a way to differentiate additional types of items on your calendar? Try creating your own labeling system.
For example, if you’d like to be able to easily pick out which items on your calendar are phone calls with clients, begin the title of those types of events with “CALL.” If you want to be able to easily scan your schedule and see which items are walk-throughs, begin the title of all walk-throughs with “WALK” and so on.
Calendar integration
To integrate your Ivy calendar with your Google calendar, select the button with 3 dots on the top-right of the screen and choose “Calendar Integration.” Copy your calendar feed URL link.
Open your Google calendar. In your Google calendar, select “Add other calendars” from the left-side navigation bar then “From URL.” Paste the URL and click “Add calendar.” That’s it! Your calendar has synced.
